We currently support over 40 local, state, and national professional and networking organizations while managing over 20 local communities and neighborhoods.

ACCOUNT ASSISTANT AT CMS & HOAMS

An Account Assistant at Club Management Services & HOA Management Solutions is an opportunity to be part of a team uniquely positioned for a successful future. We are looking for a bright, client facing and tech-savvy person with a diverse office skill set. This position requires being face-to-face with professional clientele, regular phone calls, emails, and general account support and management in the office and on location. The new account assistant will find an energized and supportive team to make a positive impact for associations local and nation-wide. Work hours are typically between 8am and 5pm. This position is open to full-time only. Account Assistants are responsible for all aspects of support within the organizations and communities they work with while effectively helping with all resources and reporting to the CMS & HOAMS Managers, Partners and association Board of Directors, and is expected to be the embodiment of an exceptional community member-centric experience. The Account Assistant will be a representative of modern management practices, and directly and indirectly support any managerial employees while intuitively promoting a positive, engaging, collaborative and highly competent service and management culture in all operations. The Account Assistant is expected to be an interactive member of the CMS & HOAMS team working closely with both in-house team members as well as the boards, groups, and committees to help follow through on decisions and set strategic direction for the short and long-term well-being of the associations. Supporting and effectively working with a number of boards, who are an important part of CMS & HOAMS’ success, is a necessary and important skill set. Being the ultimate catalyst for energizing all aspects of the organization and communities’ we manage while maintaining the strong positive momentum the CMS & HOAMS team currently has are important qualities to the new Account Assistant’s success.

POSITION DETAILS

Supervisor: This person will report to the Partner(s) and manager(s)

Location: 4730 S. National Ave. Bldg., A1, Springfield, MO 65810

EDUCATIONAL AND CERTIFICATION QUALIFICATIONS

Bachelor’s degree preferred but not required

Bookkeeping and Quickbooks knowledge preferred

History of management capabilities

KEY RESPONSIBILITIES

The Account Assistant position will include performing the following responsibilities and other duties as needed.

  • Attend board meetings and take minutes
  • Attend membership meetings
  • Update websites as needed
  • Reconcile bank statements, pay bills, create invoices, accept payments
  • Generate reports for board meetings and on-demand for officers
  • Add new members to database and websites (as needed); update member information and create event registrations.
  • Create presentations and marketing material
  • Prepare reports from QuickBooks for tax returns
  • Complete other projects as requested by managers
  • Collaborate in-office and with associations to accomplish shared goals
  • Help plan events, such as
    • board meetings
    • conferences
    • continuing education seminars
    • banquets
    • annual fundraising events

CANDIDATE QUALIFICATIONS

Required

  • Engaging, customer service-oriented interpersonal communication skills, whether on the phone, via email, or in-person.
  • Problem solver: “I can’t isn’t in your vocabulary; instead, you say “I’ll figure out how,” and you have the skills to find a solution.
  • Confidentiality and trustworthiness as well as the ability to recognize confidential information without being told.
  • Organized and detail-oriented. The successful candidate probably loves office supplies, everything from printable file tabs and dividers to binder clips to sub-divided folders.
  • Ability to remain productive and accurate in a fast-paced environment.
  • Patience and calmness under pressure. We pride ourselves on a drama-free office!
  • Manages time well, without requiring micro-management.
  • Ability to maintain our current systems and adapt them or create new ones to solve problems or improve processes.
  • Team player: we share work and help each other out, even when that means helping with a team member’s task along with your own responsibilities.
  • Comfortable with current internet technologies, including websites and social networking sites (from a business/marketing perspective).
  • Keeps open communications with coworkers and management

TECHNICAL PROFICIENCIES

Preferred, but Optional to a Teachable Candidate

  • Windows / Microsoft Office (Excel, Word, PowerPoint, etc.)
  • Outlook
  • QuickBooks (Will train the right candidate)
  • Adobe Creative Suite (preferred)
  • Video conferencing (Zoom, GoToMeeting, etc.)

SALARY AND BENEFITS

  • Compensation: $15-$17 hourly, dependent on experience
  • Bonus and commission opportunities
